Program Operations · Intake

Stop re-entering the same client data four times.

LA nonprofits receiving government funding must use state and county-mandated systems — CalJOBS for workforce programs, HMIS for homeless services, city contract platforms for housing — none of which talk to each other. A caseworker conducts a 30-minute intake interview with a client, then spends 45 additional minutes re-entering the same information into 3–4 separate systems. This happens for every single client, every time.

The problem

The human cost of duplicate data entry.

The human cost is direct: time entering data is time not spent with clients. The research documented one provider where intake processing took 'a week and a half' before a youth received any assistance — not because of eligibility issues, but because of administrative backlog from duplicate entry. Staff turnover compounds this: institutional knowledge of which fields map to which system lives in people's heads, not in documentation. When someone leaves, the next person makes mapping errors.

The technology fix is not a true integration — CalJOBS has no public API. What's buildable is a write-once intake form that generates pre-filled export packets for each required system. The caseworker fills one form; the system produces a completed CalJOBS entry template, a completed HMIS CSV, and whatever other format the county requires. It doesn't eliminate re-entry entirely, but reduces it from a 45-minute re-interview to a copy-paste review.

  • 30-minute client interview followed by 45 minutes of re-entering the same data
  • 3–4 separate mandated systems with no data-sharing between them
  • CalJOBS has no public API — true integration is not currently possible
  • Intake backlogs delay service delivery — documented cases of week-and-a-half delays
  • Staff turnover destroys institutional knowledge of field mappings

How we approach this

Write once, export everywhere. Scoped to your specific system requirements.

Write-once intake form

A single intake interview captures all required fields across every mandated system. Staff conduct one 30-minute interview — no second session, no parallel spreadsheet.

CalJOBS export packet

Auto-generates a pre-filled CalJOBS entry template from the intake data. Your staff reviews and copies — not re-interviews. Reduces re-entry from 45 minutes to under 10.

HMIS CSV export

Generates HMIS-compliant CSV output formatted to HUD's current data standards. Field mapping is maintained as configuration — when HUD updates its schema, one mapping changes, not every form.

Field mapping documentation

Every field in every export system documented and version-controlled. When staff turn over, the next person has a reference — not just institutional memory in someone's head.

Data quality validation

Required fields flagged at entry, not at submission. Catches missing SSN, incomplete address, invalid date of birth before the export packet is generated.

Multi-program intake

One client may be enrolled in workforce, housing, and homeless services simultaneously. The intake form captures all program-specific data in a single session and generates the appropriate export for each.
